Privacy policy
Last updated
This policy explains what happens to your personal data when you use the Beyond the Mat website or join our waiting list. It is written to be read, so if anything here is unclear, email us and we will explain it.
1. Who we are
Beyond the Mat is made by Beyond Sports BV, a company registered in Belgium at Pastoor Cooremansstraat 3, 1702 Groot-Bijgaarden, enterprise number BE 1032.360.607. We are the data controller for the personal data described in this policy, which means we decide why and how it is used.
You can reach us about anything in this policy at info@beyondthemat.app.
2. What this policy covers
This policy covers the website at www.beyondthemat.app and the waiting list you can join from it.
The Beyond the Mat app has not been released yet and does not collect anything from anyone. Before it does, we will publish a policy that describes what it collects and why, and it will be available before you can install the app.
3. What we collect, why, and for how long
We only collect what we need for the reason given. We do not buy personal data, we do not sell it, and we do not use it to make automated decisions about you.
| What | Why | Legal basis | How long we keep it |
|---|---|---|---|
| Your first name and email address | To email you when the app opens in your language | Your consent | Until you unsubscribe, or 24 months after we email you about the launch, whichever comes first |
| Whether you train, are a parent, or coach a club, and the country you chose | To send you the right information, and to decide which languages and countries we open in first | Your consent | The same as your name and email |
| The date and time you gave consent, and the version of this policy you agreed to | So we can show that consent was given, and what you agreed to, if we are ever asked | Our legal obligation to be able to demonstrate consent | 3 years after your record is deleted |
| The page you signed up from, and any campaign tags in the link you arrived through | To understand which campaigns bring people to the waiting list | Your consent | The same as your name and email |
| Your IP address and browser information | To serve the site, keep it working, and stop automated signups | Our legitimate interest in running a working, secure website | Held in short-lived server logs by our hosting provider |
| Analytics and advertising identifiers, set through cookies | To measure how the site and our ads perform | Your consent, given through the cookie banner | Set by the providers named in section 5, and only if you accept |
4. Cookies and similar technologies
Until you make a choice in the cookie banner, we set nothing on your device except what is needed to remember that choice. Nothing loads for analytics or advertising before you accept.
- Strictly necessary. Your cookie choice, so we do not ask again on every page. The anti-spam check on the waiting list form may also set a short-lived cookie while it runs.
- Analytics, only if you accept. Google Analytics, so we can see which pages people read and where they stop.
- Advertising, only if you accept. The Meta pixel, so we can see whether our ads bring people who then join the waiting list.
You can change your mind at any time using the consent preferences link in the footer of every page. Declining is one click and costs you nothing: the whole site works either way.
One thing worth mentioning because it often is not: our fonts are served from our own domain rather than from a font service, so loading a page does not tell a third party that you visited.
5. Who else handles your data
We use a small number of suppliers to run the site and the waiting list. They act on our instructions under a written contract, and they may not use your data for their own purposes.
| Who | What they do for us | Where they process data |
|---|---|---|
| Cloudflare, Inc. | Hosts and serves this website, and runs the anti-spam check on the waiting list form | European Union and United States |
| Airtable, Inc. | Stores the waiting list | United States |
| Google Ireland Limited | Tag Manager and Analytics, which run only if you accept analytics cookies | European Union and United States |
| Meta Platforms Ireland Limited | The advertising pixel and the server-side equivalent, which run only if you accept advertising cookies | European Union and United States |
| Google Ireland Limited | Google Workspace, which carries our email if you write to us | European Union and United States |
For the advertising pixel, we and Meta Platforms Ireland Limited decide together what is collected and sent, so for that step we are joint controllers. Meta is responsible for what it does with the data afterwards. If you decline advertising cookies, none of this happens.
We will also share data where the law requires it, for example in response to a valid order from a court or a regulator.
6. Sending data outside Europe
Some of the suppliers above are based in the United States or process data there. When your data goes outside the European Economic Area, we rely on the standard contractual clauses issued by the European Commission, and, where the supplier is certified under it, the EU to US Data Privacy Framework.
If you would like to see the safeguards that apply to a particular transfer, ask us and we will send them.
7. Your rights
Under the General Data Protection Regulation you have the following rights over your personal data. They are free to use, and we will answer within one month.
- Ask for a copy of the data we hold about you.
- Ask us to correct anything that is wrong.
- Ask us to delete it. If you joined the waiting list, unsubscribing does this, and you can ask us directly instead.
- Ask us to restrict what we do with it while a question about it is being sorted out.
- Ask for it in a portable form, or ask us to send it to someone else.
- Object to us using it where we rely on our legitimate interests.
- Withdraw your consent at any time. That does not undo anything we did before you withdrew it.
To use any of these, email info@beyondthemat.app. We may ask you to confirm who you are before we act, so that we are not handing your data to someone else.
8. If you are unhappy with how we handled it
Tell us first and we will try to put it right. You also have the right to complain to a data protection authority, without going through us.
In Belgium that is the Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be. If you live in another EU country, you can complain to the authority there instead.
9. Children
This website and the waiting list are for adults. We do not knowingly collect personal data from children through this website, and if you believe a child has given us their details, email us and we will delete them.
The app is designed so that a child trains through an account a parent or carer sets up and manages. We do not knowingly collect personalised data from users under the age of 13. When the app is released we will explain exactly what it collects, before it collects anything.
10. Keeping data safe
The site is served over an encrypted connection. Access to the waiting list is limited to the people who need it, and the key that lets our website write to it can only add records, not read them back.
We do not take payments on this website and we never ask for card details here.
No system is perfectly secure. If a breach affects your data and puts you at risk, we will tell you and the authority, as the law requires.
11. Changes to this policy
When we change this policy we update the date at the top. We keep a record of which version you agreed to when you joined the waiting list.
If we ever want to use data we already hold for something materially different from what you agreed to, we will ask you again rather than rely on a quiet update.
12. Data protection officer
We are not required to appoint a data protection officer and we have not appointed one. Questions about data protection go to info@beyondthemat.app and reach the people responsible.
